Our Nashville based Shared Services Center is home to our Centres of Excellence for all Financial Cash transactions and processing (US Cash Managing, Accounting Operations and RMRA)  to support our US front line labels and business units.  It is a hub for internal control and risk management, and continuous improvement through technology, process and people.  Reporting into the SSC CoE, our payroll function is moving to Nashville under the leadership of our Nashville based CFO, as part of the second phase expansion of the SSC CoE which also includes centralization of some global data operations.  


How you'll spend your days...

This is an exciting opportunity to support the transition of US Payroll from HR to Finance, from its current New York location to the Nashville SSC CoE and from its existing, aging ADP Ev5 platform to Workday Payroll, as well as to be part of the long-term payroll and HRIS team once the transition is fully completed in Jan 2019.  You will manage a Payroll Analyst and hold dotted line authority with the HRIS Director for an HRIS resource dedicated to Payroll, Time Tracking and Absence.   You will establish operating procedures for the new Payroll environment and alongside your team, act in accordance with these and existing internal and external controls to deliver payroll services to circa 1700 employees, both hourly and salaried across circa 15 US based pay groups.  You will create a culture of continuous improvement and provide thought leadership on payroll technology enhancements on an ongoing basis.


During the transition period

  • Receive knowledge transfer (KT) from the existing Payroll team regarding payroll processing and procedures based on the current state model, ADP Ev5 platform and its Workday integration
  • Following the KT period, apply knowledge gained to take over payroll processing through the Ev5 platform and all related procedures, including running integration files from Workday to ADP, reviewing output, troubleshooting errors, resolving issues and committing bi-weekly pay runs
  • Post KT, responsible for the generation and posting of all payroll related journal entries, performing reconciliations of key payroll accounts, and supporting month end close and related tax, disbursement and garnishment activities
  • Develop and comply with internal and external business controls environment and agreed payroll and HRIS operating procedures
  • Build knowledge of the Workday Payroll environment during its deployment, supporting testing activities, configuration decisions and shadow payroll processing reconciliations, leveraging opportunities to learn the technology and WMG set up during the implementation process
  • Support Workday Payroll implementation project activities as required to ensure its successful go-live targeted for January 2019



Post transition steady state responsibilities

  • Oversees, manages and delivers the accurate and timely processing and reconciliation of payrolls, including:
    • maintaining related records
    • filing tax reports and voluntary deduction reports
    • processing involuntary deductions such as levies and garnishments
    • preparing accounting transactions and documents
    • preparing special reports for senior management.
  • Develops, maintains and adheres to up-to-date payroll processing and related procedures (eg Time Tracking) in accordance with internal and external controls environment (eg SOX) to ensure full compliance
  • Main point of contact for internal and external audit activity and re-certification requirements
  • Oversees and reviews the balancing of payroll accounts by auditing information; identifying and resolving discrepancies; initiating journal entries.
  • Identifies system issues related to the Payroll, Time Tracking or Absence production environment and escalates these as case / enhancement requests to HRIS team
  • Clearly articulates requirements for system changes relating to Payroll, Time Tracking and Absence and owns the end user review, testing and sign off of presented solutions
  • Manage quarterly and year-end tax activities; reconciles W2s
  • Oversees and signs off on the review and processing of payroll deductions, garnishments, levy, support orders
  • Engages with stakeholders to communicate, troublesheet and resolve escalated payroll issues
  • Identifies process improvement initiatives and defines standards for new processes
  • Works with the Payroll & HRIS Analyst to implement on-going system enhancements according to organization goals, policies and procedures, and new laws and regulations
  • Project manages new initiatives/projects to ensure best practice, compliance and adherence to legislative and regulatory changes
  • Participate in new system implementations and or improvements related to payroll process and perform user acceptance testing and sign off
  • Provide guidance to and share knowledge with relevant stakeholders relating to payroll rules and regulations
  • Management of payroll resources, ensuring strong leadership, clear priorities and team development, motivation and engagement
  • Thought leader on new payroll and technology opportunities to drive continuous improvement, manage controls and leverage new ways of working
  • Manages the impacts of global mobility engagements on US payroll (eg tax protection) in partnership with internal tax and finance team members, and external specialist advisors
  • Vendor management of third party managed service partners, overseeing SLA adherence, service reviews and vendor renegotiations at renewal junctures


What we are looking for...

  • An astute, dedicated and experienced Payroll Director with proven success in managing the execution end-to-end payroll services
  • Strong customer services ethic and ability to embed this in team members
  • Strong, general experience of the principles and practices of generalist HR, compensation & benefits
  • Vendor management with prior experience of quality assuring the delivery of third party managed payroll services
  • Project management skills and delivery experience, with proven background in managing change/adoption needs for new ways of working
  • Ability to articulate clear /functional requirements with an understanding of the technical components of this, and accordingly able to identify opportunities to simplify, streamline and consolidate for improved efficiencies
  • Demonstrates experience/skills in the ability to drive continuous improvement initiatives
  • System savvy individual with experience and proficiency in multiple payroll tools and systems, including cloud technologies (preferably Workday Payroll) and cloud update cycles, preferably as functional owner of Payroll, Time Tracking and Absence products with understanding of connectivity with Benefits and wider HCM piece
  • Excellent people manager and leader, with a strong coaching style and developmental focus
  • Prior experience of partnering with senior stakeholders, managing expectations and resolving issues
  • Broad and local Subject Matter Expertise of US specific employee benefits and payroll tax across multiple States
  • A super organised individual with impeccable attention to detail and ability to maintain confidentiality
  • Proficiency in MS365 (including Word, Excel, Outlook, PowerPoint)
  • Driver of business process improvement and automation
  • Individual who thrives in a performance-driven environment with professional work ethic
  • Deadline driven and a fast learner of new processes, methodologies and technology
  • Superior oral and written communication skills demonstrated through various presentations; easily interacts with upper management, end users, team members and vendors.
  • Expert in all Core Payroll Concepts and Compliance; IRS and Department of Labor rules/compensation/benefits/disposable and take home pay, Federal, State and Local Labor Laws, tax requirements and payroll regulations; accounting principles and general ledger account classification as it relates to payroll interdependencies
  • Experience of global mobility and its impacting on payroll processing (tax equalisation, tax protection, local to local etc) and how to manage these alongside third party partners
  • Ability to effectively present ideas, facilitate group decision making process or engage with internal and/or external customers.
